    Job Description:

Te Ratonga Pūkaha | Facilities Management
Te Whare Wānanga o Waitaha | University of Canterbury
Ōtautahi | Christchurch, Aotearoa New Zealand

We’re looking for an Asset Data Coordinator to help us ensure the information behind UC’s extensive property and asset portfolio is accurate, complete and ready to support smarter facilities and asset management.

Āu Mahi | What You Will Do
This isn’t simply a data administration role. You’ll be at the centre of an end-to-end programme that brings together information from across the University, coordinates field validation activity, keeps data moving through the system and helps identify and resolve issues along the way.

You’ll play an important role in supporting the management of UC’s $1.4 billion asset portfolio, helping turn information collected in the field into reliable data that can be used to manage our assets effectively.

    You will assist with:

    • Coordinate incoming asset information, resolve gaps and liaise with relevant teams.
    • Plan field validation visits, including access, equipment, documentation and safety requirements.
    • Support Field Data Validators to work effectively.
    • Monitor Fulcrum data quality and coordinate the resolution of errors, duplicates and anomalies.
    • Progress asset records through validation and migration into Planon, resolving complex cases with key managers.
    • Track programme progress, maintain registers and provide clear reporting.
    • Maintain data guidance, training and support materials.
    • Build strong relationships across departments, contractors, trade staff and Facilities Management teams.

    Mōu | Who You Are
You’ll be comfortable juggling multiple pieces of work, keeping track of the detail while still seeing the bigger picture. You don’t need to be an asset management expert on day one — what matters is that you’re confident working with data, systems and people, and you enjoy figuring things out.

You will be able to demonstrate:

    • At least 3 years experience in administration, coordination, data management or a similar environment.
    • Confidence using systems and technology, including Microsoft Excel, Word, SharePoint and mobile data capture applications.
    • The ability to spot a data problem, ask the right questions and make sure it gets resolved.
    • Experience with asset management, data collection or work management systems would be advantageous; experience with Fulcrum or Planon is a bonus.
    • An interest in asset classification frameworks such as Uniclass, or the willingness to learn.
    • Strong organisational skills and the ability to manage competing priorities and deadlines.
    • A sharp eye for detail and a commitment to getting information right.
    • Strong communication skills and the confidence to work with everyone from trade staff and contractors through to senior stakeholders.
    • An alignment with our organisation's values and culture, promoting a positive and inclusive work environment.
