    Kōrero mō te tūranga - About the role

    Te Herenga Waka - Victoria University of Wellington is recruiting a Team Lead, Administration to join Mauri Ora - Student Health and Counselling on a permanent, full-time basis. Based at our Kelburn clinic, this role supports the smooth day-to-day running of our busy student health and counselling service.

    You will lead and support our team of front-line administrators, helping to create a welcoming, efficient, and responsive service for students and staff. Working closely with the Practice Manager, you will coordinate front-line and back-office administration, support staff workflows, and contribute to service improvements that make a practical difference.

    Key responsibilities:

    • Leading, coaching, and supporting a team of front-line administrators.
    • Coordinating front-line and back-office administration workflows.
    • Supporting accurate records, invoicing, claims, appointments, and student information processes
    • Providing practical operational support across systems, supplies, facilities, and day-to-day service needs.
    • Helping train and induct administration staff.
    • Contributing to service improvements and smooth daily operations.

    You will be an organised, calm, and approachable team leader who enjoys supporting people and keeping a busy service running well. You will bring strong communication skills, sound judgement, and the ability to balance competing priorities while maintaining a high standard of service.

    Key requirements:

    • Experience leading or coordinating an administration, customer service, health, education, or similar team.
    • Strong organisational skills and the ability to manage competing priorities.
    • Excellent communication and relationship-building skills.
    • Confidence learning and using administrative, customer service, and health-related systems.
    • Practical problem-solving skills and a continuous improvement mindset.
    • Experience working effectively in a multicultural environment.
